How does the Flexopus customer portal work?
The Flexopus customer portal is the central platform for managing your subscriptions and master data. After registration, a demo instance is automatically created, which can be used fully for 30 days. In addition to managing your Flexopus instance(s), the portal also allows you to view and manage invoices, update your payment information, and manage administrative portal users. Especially for larger organizations, the portal enables the setup and management of several independent instances, each with its own admins, for example for different countries or companies. However, there is no booking data in the customer portal. In contrast to the customer portal, the Flexopus instance is the productive environment for managing and booking your workplace resources such as: Workplaces, meeting rooms or parking spaces.
How can I cancel my Flexopus subscription?
You can cancel your Flexopus subscription directly via the customer portal. For annual subscriptions, termination is possible after the minimum contract period with one month's notice to the end of the month. Monthly subscriptions can be canceled up until the last day of the contract term.
Is there a free demo version of Flexopus?
Yes, after registering an organizational account, Flexopus can be tested free of charge for 30 days. No credit card is required. The demo application contains all the features of Flexopus without any limitations. Detailed information on configuring integrations and features can be found in our Flexopus Help Center . After 30 days the demo account will be deactivated.
We recommend that you contact our Sales Team during the trial period to receive a free online demo of the application and to clarify your specific questions.
Note: The demo application is intended for testing and demonstration purposes only, not for an active proof of concept in your organization. To actively use Flexopus with your own cards and users, please book either the Flexopus Starter or Flexopus Business plan directly in the Flexopus customer portal. You will then receive a new application without demo data. To book Flexopus Enterprise, please contact our sales team.
Are there volume discounts or vouchers at Flexopus?
We offer a fair price with a very good price/performance ratio right from the start. If you pay annually, you can get up to 20% off the standard price. For enterprise customers, we offer special discount packages and pass on economies of scale directly.
What subscription models does Flexopus offer?
Flexopus offers three subscription models to choose from, depending on the size of your company and your functional requirements: Starter, Business and Enterprise. With the Starter and Business packages, you can flexibly choose between an annual or monthly subscription. The Enterprise package is only available as an annual subscription and offers additional individual services, such as a personal contact or volume discounts. Upgrades between packages are possible at any time, while downgrades can be reserved for the next possible renewal date.
What happens if I add more objects during runtime?
If additional properties are added during the contract period, there will be a subsequent billing at the end of the respective contract period - similar to electricity. There are no additional hidden costs.
How is billing handled and which payment methods are accepted?
Billing at Flexopus is transparent and based on the current number of resources used. If the number of resources increases during a billing period, the costs are calculated pro rata and billed at the next billing time. Different conditions may apply to the Enterprise package.
Monthly billing: If you have selected monthly billing for the Starter and Business packages, an initial setup fee will be charged immediately after the license starts. Thereafter, the daily number of resources and platform fee will be billed monthly on the first of the month for the previous month.

Annual billing: The Starter and Business packages offer a discount of up to 20% on the license fee. If you choose annual billing, a small platform fee for the entire year will be due immediately after the license begins. There is no setup fee like in the monthly plan. After that, the number of resources will be checked every first of the month and the license fees will be billed until the end of the term.

Payments can be made by credit card, SEPA direct debit and, for Enterprise customers, by invoice. All payments are processed in euros.

Some competitors charge based on the number of users. To ensure better comparability, we have therefore presented both values. For our existing customers, the rate is 0.5 jobs per employee. This means that the costs are halved compared to billing based on users.
What is a resource and why does Flexopus compare resources with users?
The monthly license fees are calculated based on the number of resources mapped in the tool. A resource is a workplace, a meeting room or a parking space. Unlike many of our competitors, the number of users is irrelevant to us. In many cases, this has a positive effect on prices for customers, as there are usually fewer workstations than users. In our existing customer companies, the rate is 0.5 jobs per employee. That is, the costs are halved compared to billing based on users.
